Schedule3W is ideal for scheduling staff, part-time and student workers, substitutes and volunteers. Schedule3W allows you to schedule who should work, when and where.

Schedule3W makes staff scheduling faster and easier through great features like:

  • Supports any number of locations (e.g. Libraries have: Circ Desk, 1st floor Reference Desk, etc; Restaurants: tables, bar, etc; plus general categories of meeting, vacation, sick time, etc.)
  • Easy entry of schedules
    • Click and drag or use Fast Entry screen in the by Location or by Employee graphical screens
    • Key into the Employee or Location Scheduling Grids (i.e. employees or locations down the side and dates across the top)
    • Enter shifts for multiple employees and/or multiple days in one step
    • Full support for recurring schedules (e.g. every 2nd Saturday on-going or to a specified date)
    • Clone a shift option
  • Two level scheduling option allows you to first schedule someone in to work (e.g. 9-5) and then schedule periods at specific service points (e.g. 10-12 and 2-4 at the reference desk)
  • Allocate assignments like supervisor or lockup
  • Shifts spanning midnight supported
  • Tracks when people want to work or can’t work and for each location whether they are part of the primary, secondary or third level group of employees to work that location (or shouldn’t work there at all)
  • Shows key information when picking a person:
    • total hours scheduled to work that week and their next and previous shift times
    • total hours scheduled on service desks that week
    • priority for working in this location
  • If you have entered desired staff levels per location, then a blue/red bar automatically shows whenever a service desk is over/under staffed
  • The # working view shows minimum # of staff working in each hour at each service point; ideal for verifying coverage at a glance.
  • Great options to communicate the schedule:
    • e-mail each person their individual schedules and/or the total schedule
    • post the total schedule on a shared drive or your Intranet and/or the wall
    • Web View add-on module gives staff and supervisors browser access to the live schedule from any workstation. No software to install! Optionally passworded.
  • The E-mail available employees option makes it easier to find replacements.
  • Powerful employee time analysis screen shows # of times, # hours and what days a person has or will work at various service desks (or even answer HR related questions like vacations, sick time and training). Optionally enter hourly rates and generate actual and/or projected staff cost reports based on hours x rate
  • Great, easy to read, at a glance schedules with option to highlight changes since a specific date/time:
    • Where Working: Employee by Time Period: shows each person where & when they are working. Also 7, 14, and 31 day formats. In time periodmode you may have each period highlighted with the location’s background color. Each employee’s unavailable and, optionally, want/willing to work periods are included.
    • Who’s Working: Location by Time Period: shows who is covering each location throughout the day. Also 7 and 31 day formats.
    • Options for Font, Font Size, highlighting alternate rows, including any shift notes and more!
  • Lots of report formats. The reports may be saved as PDF, HTML, or CSV format for Excel
  • Structure of Schedule3W allows us to easily add custom import/export interfaces or a custom report for you
  • Optional integration module for users of our Medianet, media and equipment scheduling package.
  • Multiple concurrent passworded users supported with different levels of access. Optionally, employees may be given rights to enter their own unavailable and willing/want to work times. You may even give specific employees rights to schedule themselves into designated locations (e.g. Busy). Our philosophy is that anything an employee can safely do is one less thing that the scheduler has to do.
